ADMINISTRATION
Initial enquiry to attend a NO OBLIGATION
Presentation Meeting must be made on the cut-out
sheet on page 21 of the brochure. These requests
are not normally confirmed. Simply send us the
form and we will await you at the meeting. BUT
please advise us if you find later that for some
reason you are unable to attend. Actual booking of
the tour is done on a separate form, available at the
Meetings, or by post if necessary. A non-returnable
deposit of £100 per machine is required on all
bookings but a discount of £5 will be given if this is
paid at the Meeting or by return post if the client
cannot attend one. All reservations should be made
BEFORE 12 APRIL AT THE LATEST, so that time
remains for Bike and Sun Tours to make all
necessary booking arrangements before our office
closes for the touring season on 3rd May. Booking a
tour after 12 April MIGHT be possible but will
incur a surcharge of £20 to cover the cost of
checking the availability of hotels and ferries etc. All
cheques to Bike and Sun Tours.
Final payment for the holiday MUST be received
more than 42 days before departure (deadline
noted on invoice) or the application will be
considered to be cancelled.
It would be sensible to attend as early a Meeting as
possible because some tours are often heavily
booked, even filled, by previous clients at our annual
re-union before any of the Meetings take place. If
you are particularly anxious to guarantee your place
on any tour then complete the PRELIMINARY
RESERVATION FORM on page 19 of the
brochure and send it to us with your deposit. Early
booking is particularly important because it is
becoming increasingly necessary for us to make our
hotel and ferry reservations in Nov/Dec due to the
size of our groups recently.
CANCELLATIONS
All cancellations must be received BY POST at
our office and the following terms will apply:–
- Up to 42 days before departure the deposit
will be forfeited
- Between 42 and 28 days, the deposit plus 50%
of any balance will be forfeited.
- Less than 28 days before departure, no refund
given.
It should be appreciated that since all the research
done by Bike and Sun Tours in recce’ing routes and
checking out hotels etc. is incorporated in our
route sheets no refund can be made once our
package of route sheets and other literature has
been despatched.
The brochure and all our route sheets are
protected by copyright. They may not be copied or
reproduced in any form, or used as part of any
other tour without the express permission of Bike
and Sun Tours International.
Our prices are guaranteed fixed unless there is a
change of more than 5% in the value of the pound
in relation to the Euro or the currencies of the
tour countries between October 2008 and April
2008.
Bike and Sun Tours cannot be held responsible in
the event of strikes or other failures of ferry
companies, hoteliers or other agents employed,
though every effort will be made in such
circumstances to find appropriate alternatives. We
pride ourselves on our flexibility. If any tour has to
be cancelled by Bike and Sun Tours alone then
clients will receive a full refund of all money paid,
provided that all tickets, route sheets etc are
returned to us. We reserve the right to alter
routes and accommodation at short notice if it
should be necessary.
